Questions

Custom CRM Systems — the questions we actually get asked.

When is a custom CRM worth building instead of using an off-the-shelf one?

Off-the-shelf is better when your process is close to the norm: a client, a deal, a follow-up. Custom is worth it when you find yourself forcing the team to work around the system — fields used for something other than their purpose, and side tables kept on paper or in a spreadsheet because the system doesn't understand your case. Those side tables are the practical test: if they exist, the template doesn't fit you.

What is the cost of ownership, off-the-shelf versus custom?

Off-the-shelf is cheap to start and grows with the number of users, and it is a subscription that never stops. Custom costs more up front, then becomes hosting and maintenance that are not tied to user count. The real calculation is not monthly but across three years, and the crossover depends on team size more than on how complex the system is.

Can the system connect to what we already use?

Usually yes, and the limit is not on our side but on the other system's: what it exposes as an API. A system with a documented API connects directly; a closed one may need a periodic export instead of a live link. That is the first thing we check before estimating, because it changes the timeline fundamentally.

Who owns the data, and what if we want to move later?

The data is yours, hosted on an account in your name. We make sure export stays possible in a standard format at any time — not because we expect you to leave, but because a system you cannot leave is a system that holds you, and that is exactly what drives people to ask for a custom one in the first place.

How are permissions handled across the team?

By roles defined around your business rather than a template: who sees prices, who sees full customer records, who exports and who deletes. Permissions are settled at design time, not after launch — adding them later to a system built without roles is a rebuild, not a setting.
